Job Summary The incumbent will serve as an executive assistant to the Laboratory Director and assist in the day-to-day management of a basic research laboratory in the Department of Cellular and Molecular Pharmacology, as well as two research centers: the UCSF Center for Systems & Synthetic Biology and the Nanomedicine Center.

This position also serves as a liaison between the University and the Howard Hughes Medical Institute, where the lab director is also an investigator. The primary function of the position includes administration of grants, personnel and lab/Centers administration, event planning, and executive coordination and support to the Director and Professor of the above Centers.

The incumbent serves as a resource for the lab including compiling periodic, ad hoc and year-end budget analyses and projections, grant administration, and preparing progress reports accurately and in a timely manner. The incumbent will also coordinate, evaluate and advise on travel and speaking arrangements, maintain daily and long term calendar, track expense reimbursements, honoraria and consulting income. Coordinates the administrative and financial management of the center, including interaction with Associate Director, Faculty, Postdoctoral Fellows, and Graduate Students, advise lab personnel on UCSF and HHMI policy and administrative procedure, manage the visa process in collaboration with the HR Service Center and perform other duties as assigned.
Required Qualifications . Bachelor's degree in Finance, Accounting, Business Administration or in a related field and minimum three (3) years of experience in administrative analysis or operations research; or an equivalent combination of education and experience.
. Advanced knowledge of MS Word, Excel, and Filemaker.
. Strong working knowledge with databases (PeopleSoft, Filemaker, Access) and online systems for reimbursement and timekeeping.
. Experience supporting an executive level manager, Dean or other high level position:
. Successful experience managing multiple ongoing projects in a fast paced environment.
. Ability to meet tight deadlines, efficiently and accurately and to work independently to resolve issues.
. Proven ability to communicate with diverse groups including excellent written, verbal and problem solving skills.
. Ability to effectively interact with a diverse professional staff, both independently and as a team member in a fast paced environment.
. Knowledge of policies and procedure in more than one functional area or substantive knowledge in a specialized field.
. In-depth knowledge of basic concepts, practices and procedures within the applicable discipline.
. Exercise tact, discretion, and judgment of the highest standard; routinely communicate on behalf of the Director of Lab on matters that are sensitive or confidential;
. Ability to make well-reasoned informed and timely decisions.
. Ability to rapidly acquire sufficient understanding and knowledge of situation either to take action or make recommendation.
. Strong organizational skills and attention to detail.
